Cost Tracking

uniFLOW tracks and stores all printing, copying and scanning activity, together with associated costs. The built-in reporting system allows you to view and control how much each printer and user is costing the organisation. Any savings made from running uniFLOW in your organisation are also recorded, allowing you to see the true return on investment achieved.

Key Business Challenges:

  • No control over printing costs and how printers are used
  • Users tend to print everything in colour
  • Costs cannot be allocated to users or departments
  • Costs cannot be charged back or recovered
  • No visibility of costs incurred or savings made during busy or quiet periods in the year

Benefits:

  • Full visibility of print/copy spending and savings
  • Control print and copy spending at user, department or project level
  • Understand how your existing printing infrastructure is used
  • Control the use of colour printing and copying within the organisation
  • Exploit new sources of revenue from external client printing and chargeback

Advanced Scanning

uniFLOW’s Advanced Scanning allows users to scan and compress documents from Multi-Functional Devices (MFDs), directly to email or to document repositories like Microsoft SharePoint or Canon’s Therefore™. Scan workflows can be personalised so that the “scanning experience” is both intuitive and consistent throughout your organisation.

Key Business Challenges:

  • The way to scan documents can be different from one device to another
  • Users can spend too much time entering information at the MFD
  • Documents may need to be manually uploaded into Microsoft SharePoint
  • Documents may need to be scanned and processed one at a time
  • Your internal data needs to be accurate and easy to find at a later date

Benefits:

  • Leverage your existing investment in Canon MFDs
  • Reduce the time users spend inputting data at the MFD
  • Reduce the time users spend manually dividing documents
  • Provide users with an integrated route into Microsoft SharePoint
  • Reduce the risk of inaccurate information and documents that are difficult to find

Secure Printing

uniFLOW Secure Printing allows all users to send their sensitive documents to network printers and have the job printed only when they are physically standing in front of the printer. This could be a printer on a different floor, building, city or even in a different country.

Key Business Challenges:

  • Users send the same document to print many times after making corrections
  • Users send print jobs to the wrong printer
  • If a printer is unavailable, users need to walk back to their PC and re-send their document to another printer
  • Printed documents are left unattended at printer and picked up by the wrong person
  • Users are not aware of the cost incurred by the organisation

Benefits:

  • Users can pick up their print jobs from any printer
  • Users can use a single printer driver to print to any printer regardless of make or model
  • If one printer is out of service, users can walk to another printer to release their jobs
  • Users can pick up print jobs from other locations or for other users, if authorised
  • Your organisation can reduce the cost of unnecessary printing significantly

Document Security

uniFLOW enables customers to increase security measures for MFD activity across their organisation. Jobs can be held at the uniFLOW server until a user provides identification at the MFD, preventing unauthorized individuals from retrieving a confidential document. Information leakage in any organisation is a very serious threat. uniFLOW provides both document content monitoring and prevention of unauthorised disclosure of confidential information.

Key Business Challenges:

  • Internal Data Loss Prevention (DLP) initiatives do not cover the MFD
  • No visibility of what documents are printed or copied and where they finally end up
  • Users are not aware of the possible threats of mishandling information
  • No way of knowing when any confidential information leaves the organisation unauthorised

Benefits:

  • Deter unauthorised duplication of hardcopy or digital information
  • Receive alerts as soon as information leaks happen
  • Complete content audit trail
  • Audit information and copy of documents can be sent to an archive system for later review

Intelligent Routing

Many users print directly to their desktop printers out of convenience. This becomes a problem when printing in large quantities. With uniFLOW Intelligent Routing, the administrator can define how documents are printed when certain rules are matched. Rules can include the number of colour pages printed, the number of pages in the document or its total cost.

Key Business Challenges:

  • Users print everything directly to the nearest desktop printers
  • Allowing colour printing without any form of control can become a major overhead
  • Users are not aware of the costs associated with printing
  • Benefits:

  • Optimise cost savings by enforcing printing rules
  • Users can see cost of their print jobs and potential savings
  • Significantly reduce the impact on the environment

Key Business Challenges:

  • Mobile devices are becoming commonplace in business
  • Mobile users are not able to print
  • Enabling mobile printing could be a potential network security threat

Benefits:

  • Allow mobile users to print from any mobile device to any printer anywhere
  • No need to install or download printer drivers or applications
  • No need to introduce a new system and open up the network for remote access
  • Increase customer satisfaction by allowing visitors to print from their mobile devices
  • Uncover new business opportunities by offering printing as a service to external customers
